Customize your AI receptionist

Your AI receptionist works out of the box — but the more you customize it, the more it sounds like your business. This guide walks through the four settings every plumber should configure on day one.
Find all of these under Settings → AI Receptionist on your dashboard.
1. Business name & greeting
This is the first thing every caller hears. Default greeting:
"Thanks for calling [Business Name], how can I help today?"
You can change this to anything you want. Some examples that work well:
- "Thanks for calling Smith Plumbing — what's going on?"
- "Smith Plumbing, this is the assistant. How can I help?"
- "You've reached Smith Plumbing, licensed and insured. What's the issue?"
Tip: Keep it short — under 8 seconds. Long greetings make callers hang up. The faster you ask "how can I help," the more leads you capture.
2. Service area
Tell the AI which counties or zip codes you serve. When a caller is outside your area, the AI will politely let them know rather than wasting both your time on a lead you can't service.
You can enter:
- By county: "Pinellas County, Hillsborough County, Pasco County"
- By city: "Tampa, St. Petersburg, Clearwater, Largo"
- By zip code: "33701, 33702, 33703…"
- By radius: "Within 30 miles of Tampa, FL"
If a caller is from outside your area, the AI says something like: "I'm sorry, we don't service that area. You might want to try a plumber closer to you — good luck!" No lead gets created, no notification fires.
3. Business hours
Set when you're open. This affects two things:
- What the AI says about callback timing. During hours: "I'll have the plumber call you back within the hour." After hours: "We're closed for the night — first available callback is 8am tomorrow."
- Whether the AI offers to book an emergency slot. If you've enabled emergency calls, after-hours leads with an urgency flag still go through, but with the emergency rate quoted.
Standard fields: Monday–Sunday, open/closed, and start/end times in your local timezone. Plus a checkbox for "Accept emergency calls outside hours."
4. Booking mode — the big one
This setting controls whether the AI offers to schedule a specific time, or just promises a callback. Pick one:
🗓️ Auto-book mode
The AI offers specific times: "I can get someone out Wednesday afternoon — does 2pm work?"
Best for: dispatchers with predictable schedules, plumbers using Jobber's scheduling, businesses with multiple techs.
📞 Always-callback mode
The AI never offers a time. Instead: "I'll have the plumber call you back within the hour to schedule."
Best for: solo operators, owners who want to size up the job before committing, anyone who's burned by no-shows on auto-booked slots.
You can switch between modes at any time — takes effect on the next call. Most plumbers start in Always-callback mode for the first 2 weeks, then switch to Auto-book once they trust how the AI handles intake.
5. Optional — your specialty & pricing notes
Tell the AI things only you would know. These get folded into the conversation so the AI doesn't have to guess.
- Specialty: "We focus on residential repairs and water heater installs. No commercial."
- Service call rate: "$95 service call fee, applied to the job if hired."
- Emergency rate: "$150 after-hours, $250 weekends and holidays."
- What you don't do: "We don't do septic tank pumping or well repair — refer those out."
- Anything else: "Mention we're family-owned and licensed since 1998."
The AI weaves these naturally into conversations. If a caller asks about price, it'll quote your service call fee. If they ask about septic, it'll politely redirect.
How to test your changes: After saving, call your business number from a different phone. The AI uses your new settings within ~30 seconds of saving. Try a few scenarios — a routine leak, an emergency, an out-of-area caller — to see how it sounds.
